The Microsoft Outlook integration saves every new Swopi lead as a contact in Outlook for a team member (Microsoft 365 / Exchange Online). A web-card lead or a manually added contact shows up in Outlook contacts — ready to email, meet, and find on your phone.
One-way push via the Microsoft Graph API. Swopi never deletes or reads anything back from Outlook.
There are two separate tiles — pick the one you need:
| Tile | For whom | Who connects |
|---|---|---|
| Outlook (whole team) | Entire company | Admin (once for everyone) |
| Outlook (personal) | Individual | Each member themselves |
Both connections are one click — sign in with Microsoft, done.
#Outlook (whole team)
An admin connects Outlook with one sign-in, and from then on every member's leads are saved into the Outlook contacts of whoever captured them. Individuals don't have to do anything.
#How to connect
Dashboard → Integrations → Outlook (whole team):
- Click Connect company Outlook.
- Sign in with your Microsoft 365 admin account and approve access once (admin consent).
- Done — members' leads start saving into their Outlook contacts.
Who can connect it: consent must be granted by a global admin of your Microsoft 365. It's the standard Microsoft "Approve permissions" screen — just click Accept.
#Optional — fallback mailbox
For a lead where no member can be determined (e.g. a public web-card lead with no owner), you can set a fallback mailbox (email) to save such contacts into. Leave it empty to skip those leads.
#Where the contact is saved
The mailbox is determined by the email of the member who captured the lead (must be a user in the same Microsoft 365). If that member also has a personal Outlook connected, the personal one wins — the lead is written only once.
#Outlook (personal)
Each member connects their own Outlook with a single Microsoft sign-in. Their leads are saved into their personal Outlook contacts.
#How to connect
- Dashboard → Integrations → Outlook (personal).
- Click Connect my Outlook → sign in with your Microsoft account and approve contact access.
- Done — you'll see Connected as your@email. From now on your new leads land in your Outlook contacts. Disconnect anytime with Disconnect.
If you have a personal Outlook connected, it takes priority over the company (whole team) one — the lead is written only once (into yours).
#Field mapping
| Swopi field | Outlook (Graph) |
|---|---|
| Name | givenName / surname |
emailAddresses |
|
| Phone | businessPhones |
| Company | companyName |
| Job title | jobTitle |
| Note | personalNotes |
#How it works
- Leads added manually in the dashboard and from a web card sync automatically; push older contacts once with Sync contacts now.
- Everything is logged in Sync Logs (success/error).
#Troubleshooting
| Symptom | Fix |
|---|---|
| "Admin consent was not granted" | Only a Microsoft 365 global admin can connect company Outlook. Try again with an admin account. |
| Lead wasn't saved (whole team) | The lead's owner must be a user in the same Microsoft 365. For unassigned leads, set a fallback mailbox. |
| "Connection waiting to activate" | The one-time Swopi setup hasn't finished yet (activates shortly after deploy). |
#Disconnecting
In the relevant tile, click Disconnect — access is removed and writing stops; the tile returns to "Set up". Contacts already written to Outlook remain.
Outlook calendar / meeting booking. This integration syncs contacts. Meeting booking through your card is a separate feature — not part of Outlook contact sync.
